Meeting notes often mix decisions, suggestions and unfinished ideas. An AI assistant can help sort the text, but you should retain the original notes and confirm commitments with the people involved.
Prepare a clean input
Use notes that you are permitted to share with your chosen service. Remove unnecessary personal details and confidential material if your organization has not approved the tool. Add the meeting date so relative references like “next Friday” can be checked.
Request a structured action list
Ask for a table with Action, Owner, Deadline, Evidence and Open question columns. Instruct the assistant to use “not specified” when an owner or deadline is missing. Evidence should point to a sentence in your notes, not an invented explanation.
Keep decisions separate from suggestions
Add a second section for decisions and a third for proposals that were discussed but not agreed. A phrase like “we could try a survey” should not become an assigned task unless the notes record that agreement.
Check the table against the notes
Review each row and trace it back to the source. Watch for changed dates, merged tasks or a participant being assigned work merely because they mentioned it. Confirm names and final deadlines manually before sharing.
Draft the follow-up
After checking the table, ask for a short recap containing only the confirmed actions. Keep unresolved items under “Please confirm.” Do not let the assistant send the message automatically as part of this exercise.
